Web Application Cost Estimator
The web application cost estimator helps you scope a custom business system, customer portal, booking platform or software-as-a-service product. Choose the type of application, its user roles, modules, integrations and sign-in options, and it shows our published base range in Ghana cedis, the running costs, and an itemised list of what will be quoted separately. Send that scope to us for a proper quotation.

Your selections are sent to our server only to calculate the estimate; they are not stored unless you send them with an enquiry.
How to use the Web App Cost Estimator
- 1 Choose the kind of web application you need.
- 2 Pick how many user roles it has, then tick the modules and sign-in options it needs.
- 3 Say how much it must connect to other systems, and choose project services and running costs.
- 4 Press Calculate to see the itemised estimate, then print it or send it to us for a quotation.
What it does
- Our published base range for custom web applications, in GHS
- Itemised scope: roles, modules, integrations, sign-in, APIs and automation
- Yearly and monthly running costs from our published ranges
- Optional USD figures when an exchange rate is set
- Print or save as PDF, and send your scope with a consultation request
Useful for business owners replacing spreadsheets and paperwork, founders planning a SaaS product and managers budgeting for a customer or staff portal.
Limitations
- Custom software varies too much to price feature by feature without a conversation, so most items are marked "quoted separately" rather than guessed.
- The base range is the one we publish (GHS 25,000 – 100,000 or more); large platforms can cost more.
- Third-party charges such as payment-gateway fees, SMS and WhatsApp message fees and software licences are not included.
What decides the cost of a web application
A web application is priced on the work it does, not on its number of pages. Five things move the cost most:
- Users and roles. Every type of user (staff, managers, customers, administrators) needs its own screens, permissions and tests. One role is far simpler than a system where each branch or department sees different data.
- Modules and workflows. Dashboards, payments, notifications, document storage and approvals are each a small project of their own. A request that moves through three approval steps takes more work than a simple form.
- Integrations. Connecting to a payment provider, an SMS gateway or accounting software with a published API is usually straightforward. Older, in-house or undocumented systems take longer and carry more risk.
- Sign-in and security. Email and password is the baseline. Social login, single sign-on with your staff’s work accounts and two-factor authentication each add set-up and testing. Two-factor authentication is worth it for anyone with administrator access: see our guide to multi-factor authentication.
- Data and change. Moving records from spreadsheets or an old system, training users and planning how the process changes all take time that is easy to forget.
Responsive design, so the application works on phones, tablets and desktops, is part of every build, so it is not a separate item.
Why most of your estimate says “quoted separately”
We publish one range for custom web applications and portals: GHS 25,000 – 100,000 or more. Inside that range, the same feature name can mean very different amounts of work, so we do not attach invented prices to each module. The estimator lists every item you chose, so the scope is clear, and marks the ones we price after a conversation.
That conversation is short and free. Press Request a quotation on your estimate and your selections are copied into the form at the foot of this page. Add a few words about the process you want to improve and we will come back with questions, then a written quotation that lists exactly what is included.
Read your estimate
- One-off build is the published base range for the type of application you chose. Your quotation lands inside or above it, depending on the items marked “quoted separately”.
- Yearly running costs are the domain and hosting. Applications with many users usually need more than shared hosting; the cloud hosting cost estimator helps you size it.
- Monthly services are maintenance and support: security updates, backups, fixes and small changes.
Ways to reduce cost and risk
- Start with the most valuable workflow. Launch the part that saves the most time or earns the most money, then add modules in planned stages.
- Prototype first. Clickable prototypes let your team try the workflow before anything is built, which is cheaper than changing finished software.
- Write down your requirements. The website requirements generator turns your goals, users and features into a brief you can share.
- Check whether you need custom software at all. If a simpler website will do, the website cost calculator shows our published ranges, and our custom software development page explains when building is worth it.
Frequently asked questions
How much does a custom web application cost in Ghana?
The range we publish for custom web applications, portals and platforms is GHS 25,000 – 100,000 or more. Smaller systems and portals typically start around GHS 25,000; larger platforms with many users, workflows and integrations cost more.
Why are most items quoted separately?
Two features with the same name can take very different amounts of work: a payments module might be one Mobile Money checkout or a complete billing system. We only show prices we publish and price the rest once we understand your requirements.
What is the difference between a website and a web application?
A website mainly presents information. A web application lets people do work: sign in, enter and manage data, move requests through approvals, pay or book. That needs a database, user roles, security and more testing, which is why it costs more.
Can we start small and add features later?
Yes. We scope projects in stages so you can launch the most valuable part first and add modules in planned releases.
What running costs should we budget for?
The ranges we publish are GHS 100 – 300 a year for a domain, GHS 600 (shared hosting) to GHS 3,000 or more (a VPS) a year for hosting, and GHS 300 – 1,500 a month for maintenance and support. Third-party charges such as SMS fees and software licences are extra.
Should we buy off-the-shelf software instead?
If a well-supported product fits most of your process, buying is usually cheaper. Custom software makes sense when your process is a competitive advantage, when products force costly workarounds, or when you need to connect systems that do not integrate.
