Enter numbers without a currency sign. The discount is a percentage off that line.

    Tax lines

    Add the taxes you charge with your own rates. Each tax is worked out on the subtotal after discount, or, if you choose, on the subtotal plus the taxes above it.

      The Ghana preset adds NHIL 2.5%, GETFund levy 2.5% and VAT 15%, all on the same taxable value (20% in total), as the GRA describes the rules in force since 1 January 2026. Check that they apply to you; they are not right for every business or supply.

      Payment details and notes

      Saved in this browser only

      Drafts and your business details are stored in this browser's local storage on this device. They are not sent to us and are not backed up: clearing your browser data removes them.

      In the print window, choose “Save as PDF” as the printer to get a PDF.

      This makes a printable invoice or quotation. It is not an accounting system and not a GRA E-VAT invoice: VAT-registered businesses in Ghana must issue their VAT invoices through a GRA certified invoicing system (E-VAT).

      Everything you type, including your logo, stays in your browser. Nothing is sent to our server; drafts are stored in this browser only if you choose Save.

      How to use the Invoice Generator

      1. 1 Choose invoice or quotation, a template, a colour and the currency.
      2. 2 Enter your business details and logo, then the customer's details.
      3. 3 Add each item with its quantity, unit price and any discount.
      4. 4 Add your tax lines (or the Ghana VAT and levies preset) and your bank or Mobile Money details.
      5. 5 Check the preview, then choose Print or save as PDF.
      6. 6 Save a draft or your business details in this browser if you want them next time.

      What it does

      • Invoices and quotations with number, issue date and due date or validity date
      • Line items with quantity, unit price and per-line discount, plus an overall discount
      • Tax lines with your own names and rates, charged on the subtotal or compounding
      • Optional Ghana preset: NHIL 2.5%, GETFund levy 2.5% and VAT 15% on the same value
      • GHS by default, plus USD, EUR, GBP, NGN, XOF or any ISO currency code, formatted correctly
      • Three printable templates, your logo and accent colour, bank and Mobile Money details
      • Drafts and reusable business details saved in this browser only, with a delete button

      Useful for freelancers and consultants, small shops and service businesses, startups sending their first quotations and anyone who needs a quick, tidy invoice without accounting software.

      Limitations

      • It is not an accounting system: it does not keep a ledger, track payments, control invoice numbering or file returns.
      • It does not produce a GRA E-VAT invoice. VAT-registered businesses in Ghana must issue VAT invoices through a GRA certified invoicing system.
      • It does not decide which taxes apply to you. The amounts are only as right as the rates you enter or confirm.
      • Drafts live only in this browser on this device, one draft at a time. Clearing your browser data deletes them.

      What a good invoice shows

      Whatever your business, an invoice is easier to pay, and to defend later, when it shows:

      • your business name, address and contact details, and your TIN if you have one;
      • the customer’s name and address;
      • a unique invoice number, the issue date and the due date;
      • a clear description of each item, its quantity and unit price;
      • each tax as its own line, with its rate and amount, and the total;
      • how to pay: bank details or a Mobile Money number and name.

      A quotation shows the same details, but with a “valid until” date instead of a due date.

      How the totals are worked out

      1. Line amount = quantity × unit price, less the line’s discount percentage.
      2. Subtotal = the sum of the line amounts.
      3. Overall discount comes off the subtotal, as a percentage or a fixed amount. The result is the taxable amount.
      4. Each tax line is its rate × the taxable amount. If you set a tax to compound, it is worked out on the taxable amount plus the taxes listed above it.
      5. Total = taxable amount + all tax lines.

      Each line, discount and tax is rounded to the nearest pesewa (or the currency’s smallest unit) once, half up, and the total is the sum of those rounded figures. That way the printed numbers always add up.

      Ghana VAT and levies in 2026

      The Value Added Tax Act, 2025 (Act 1151) took effect on 1 January 2026. The Ghana Revenue Authority’s guidance says:

      Charge Rate On GHS 1,000
      NHIL 2.5% GHS 25
      GETFund levy 2.5% GHS 25
      VAT 15% GHS 150
      Total 20% GHS 1,200 to pay

      All three are charged on the same value: they no longer compound. The GRA has also abolished the 1% COVID-19 Health Recovery Levy and the VAT Flat Rate Scheme, and raised the registration threshold for businesses supplying goods from GHS 200,000 to GHS 750,000. The Act sets no turnover threshold for suppliers of services.

      The Use Ghana VAT and levies (2026) button adds those three lines for you. Use it only if you are VAT-registered and the supply is standard-rated. Some supplies are exempt or zero-rated, and the rules may change, so check the GRA’s VAT page or ask your accountant.

      E-VAT and why this is not a VAT invoice

      Under section 43 of Act 1151, a VAT-registered business must issue its tax invoices through a certified invoicing system integrated with the GRA’s system. The GRA’s E-VAT receipts carry the Commissioner-General’s signature, a QR code for verification, a time stamp and serial numbers, which a document from this tool cannot have. If you are VAT-registered, use this generator for quotations and pro-forma invoices, and issue the VAT invoice itself through E-VAT. The GRA says it offers a free all-round E-VAT system to registered businesses that do not have one, or can connect it to the system you already use.

      Tips

      • Number invoices in one sequence (INV-0001, INV-0002…). Start a new document moves to the next number for you.
      • Set clear payment terms in the notes, for example “Payment within 14 days by bank transfer or Mobile Money”.
      • Save your business details once. Your name, logo, payment details and tax lines then fill in for every new document in this browser.
      • Keep a copy of every invoice you send. This tool does not keep records, so save each one as a PDF.

      To work out take-home pay for staff, try the Ghana PAYE calculator. To combine invoices into one file for a client, use the PDF tools. If you issue many invoices, custom business software can create, send and track them for you.

      Frequently asked questions

      Is an invoice from this tool a valid VAT invoice in Ghana?

      No. Under the Value Added Tax Act, 2025 (Act 1151), a VAT-registered business must issue tax invoices through a certified invoicing system that is integrated with the GRA's own system. The GRA's E-VAT receipts carry the Commissioner-General's signature and a QR code for verification. Use this tool for quotations, pro-forma invoices and invoices that are not VAT invoices.

      What are the VAT rates in Ghana in 2026?

      From 1 January 2026, the GRA lists VAT at 15%, the NHIL at 2.5% and the GETFund levy at 2.5%, all charged on the same taxable value, which makes 20% in total. The 1% COVID-19 Health Recovery Levy was abolished. On a GHS 1,000 supply that is GHS 25 + GHS 25 + GHS 150, so the customer pays GHS 1,200.

      What is the difference between an invoice and a quotation?

      A quotation offers a price before work is agreed and usually says how long the price is valid. An invoice asks for payment for goods or services supplied and gives a due date. Switch between them at the top of the tool: the title, number prefix and dates change to match.

      How do I save the invoice as a PDF?

      Choose Print or save as PDF, then pick Save as PDF (or Microsoft Print to PDF) as the printer in your browser's print window. Only the invoice prints; the form and the rest of the page are left out.

      Where are my drafts and logo stored?

      Only in your browser's local storage on this device, and only when you choose Save draft or Save my business details. They are never uploaded. Choose Delete saved data to remove them, or clear your browser's site data.

      Can I invoice in US dollars or another currency?

      Yes. Choose GHS, USD, EUR, GBP, NGN or XOF, or enter any three-letter ISO 4217 code such as ZAR or KES. Amounts use the currency's usual number of decimal places, for example none for the CFA franc.
