AI Chatbot Requirements Generator

The AI chatbot requirements generator helps you plan a chatbot before you buy or build one. Answer questions about your objectives, channels, languages, frequent questions, escalation to staff, knowledge sources, integrations, data protection and success measures. It produces a project brief: scope, conversation flows to design, knowledge to prepare, escalation rules, risks, a testing plan and a phased rollout. It runs in your browser.

AI Chatbot Requirements

Not sure a chatbot is the best place to start? The AI automation opportunity finder ranks your processes by time spent and how easy they are to automate.

Everything runs in your browser. Your answers are not sent to our server unless you choose to send the brief with an enquiry.

How to use the AI Chatbot Requirements

  1. 1 Describe your organisation, what the chatbot should do and which goal matters most.
  2. 2 Choose the channels and languages, and list the questions customers ask most.
  3. 3 Set when a person takes over, where the chatbot's knowledge comes from and what it connects to.
  4. 4 Answer the data protection and success questions, then press Create my chatbot brief.
  5. 5 Download, print or send the brief to vendors or to us for a proposal.

What it does

  • Scope with in-scope and out-of-scope items, led by your main goal
  • Conversation flows to design, including welcome, fallback, handover and after-hours
  • Knowledge preparation list with owners, and integrations prioritised by what the flows need
  • Escalation rules, data protection points and risks such as wrong answers and prompt injection
  • Testing plan, three-phase rollout and success metrics
  • Download as Markdown, print or save as PDF, or send the brief to us

Useful for businesses planning a website or WhatsApp chatbot, customer service managers and teams comparing chatbot vendors.

Limitations

  • It plans the project; it does not build, test or price a chatbot.
  • Data protection points summarise the Data Protection Commission's published guidance. They are not legal advice and do not make a chatbot compliant.
  • Platform rules for WhatsApp, Messenger and Instagram change; check each one's current policies before launch.
  • No brief can guarantee that an AI chatbot will always answer correctly; testing and human review are still needed.

What goes into the brief

A chatbot project fails most often because nobody agreed what it should do, what it may say or who takes over. The brief turns your answers into the decisions a builder needs:

  • Scope: your goals, channels, languages and actions, plus what is deliberately out of scope for now.
  • Conversation flows: one flow for each goal, led by the one that matters most, plus the flows every chatbot needs: a welcome with a privacy notice, a fallback when it does not understand, a handover to a person and an after-hours message.
  • Knowledge to prepare: approved answers to your frequent questions and a clean-up list for each source, each with an owner.
  • Integrations: each system it connects to and what it reads or writes. Bookings and status look-ups are flagged when the system they need is missing.
  • Escalation, data protection, risks, testing, rollout and metrics: covered in the sections below.

Keeping answers accurate

An AI chatbot can produce fluent answers that are wrong. OWASP’s Top 10 for LLM Applications lists misinformation, prompt injection, sensitive information disclosure and excessive agency among the main risks. The brief turns those into practical rules:

  • answer only from approved knowledge, and say “I don’t know” instead of guessing;
  • give the chatbot the narrowest permissions it needs, and confirm before any booking or order;
  • check identity before showing account details;
  • test with real questions, awkward cases and attempts to break the rules, then review transcripts every week.

The US National Institute of Standards and Technology’s voluntary AI Risk Management Framework is a useful reference if you want a fuller risk process.

Data protection in Ghana

If the chatbot collects names, phone numbers, order details or anything more sensitive, Ghana’s Data Protection Act, 2012 (Act 843) applies. The Data Protection Commission says all data controllers and processors must register. Its compliance guidance lists registration, lawful processing, security safeguards, data processors, people’s rights and notification of security compromises among the key obligations. The brief adds a data protection checklist based on your answers. Health information, children’s data and ID numbers are flagged for extra care. The brief is a planning aid, not legal advice. Our privacy policy generator can give you a first draft of a privacy notice to review with a lawyer.

Why the first phase is small

The rollout starts with your main goal, on one channel and in one language, with a person ready to take over. Once real conversations show the answers are reliable, phase 2 adds the other goals, actions and integrations. Phase 3 adds more channels and languages. Each phase is a chance to measure: track the share of chats resolved, handovers and how fast staff pick them up, and the accuracy of reviewed answers.

Using the brief

Send the brief to vendors so their proposals answer the same questions, or use it to plan an in-house build. If WhatsApp is one of your channels, run the WhatsApp Business readiness checker too. Not sure a chatbot is the right first step? The AI automation opportunity finder compares it with your other processes. Our AI and automation team can build and test the chatbot with you.

Frequently asked questions

What should a chatbot requirements document include?

The goals and the one that matters most, the channels and languages, the questions customers ask, the actions the chatbot may take, when a person takes over, where its knowledge comes from, the systems it connects to, how personal data is handled, the risks, how it will be tested, a rollout plan and how success is measured.

How do you stop an AI chatbot giving wrong answers?

Limit it to approved, current information, make it say it does not know rather than guess, show where answers come from, test it against a set of real questions with known answers, and review transcripts regularly. OWASP lists misinformation among the top 10 risks for applications built on large language models.

Does a chatbot have to follow Ghana's Data Protection Act?

If it collects personal data such as names, phone numbers or order details, the Data Protection Act, 2012 (Act 843) applies. The Data Protection Commission says data controllers and processors must register, and its guidance covers lawful processing, security safeguards, data processors and people's rights. Ask a lawyer how it applies to you.

When should a chatbot hand over to a person?

Always when the customer asks for one, when it cannot answer from its approved knowledge, and for complaints, payment problems, emergencies and medical, legal or financial questions. On the WhatsApp Business Platform, automated replies must come with a prompt, clear way to reach a person.

Can a chatbot answer in Twi, Ga or Ewe?

Support for Ghanaian languages varies between AI models and chatbot tools, and quality can be lower than in English. Test every conversation flow with native speakers before launch, and hand over to a person when the chatbot is unsure.

Should we start on our website or on WhatsApp?

Start on one channel. The brief pilots on your website when you choose it, because you control it fully and can test without platform approvals; messaging channels follow once the answers are reliable. If almost all your customers ask on WhatsApp, piloting there can make sense too.
